AX / 05 · Official business correspondence

Official business post. Read, understood, prepared.

Astorre X Government Desk turns every official letter to your company into a clear obligation, a deadline, the evidence and a prepared reply — and never files anything itself. It starts with the main Dutch authorities: the Belastingdienst (tax), KVK (company register) and UWV (employee insurance). Nothing is submitted to any authority. The desk prepares; a person at your company decides.

The problem

The risk is the letter that sat on a desk for a week.

Government post arrives looking similar and meaning very different things: a request for information, a reminder, an assessment, a decision, a notice of intent. Each carries its own term, its own consequence and its own rule. Today that costs an evening per letter or an advisory hour — and the deadline is discovered late.

How the desk works

From letter to prepared answer — and a person at the end.

  1. ReceiveUpload a PDF. It is scanned for malware, hashed and stored privately in your workspace. A duplicate or a revised letter is recognised as such.
  2. ReadThe authority, the document type, the reference and the dates — each with the sentence it came from.
  3. EstablishThe obligation, the deadline and the rule version behind it. If it cannot be established, the desk says so.
  4. PrepareThe answer, the enclosures, what was deliberately left out and why, and the deadline for your calendar.
  5. DecideA named reviewer approves or rejects. You send it yourself. Every step is in the audit trail.

Documents

  • PDF, up to 10 MBIncluding the letters you download from an authority’s own portal.
  • Malware-scanned firstNothing reads a file before it has been scanned; an infected or unscannable file is refused.
  • A text layer is requiredA scan or photo without text is refused for a person to read — never guessed at.
  • Private, with a content hashStored per company; no document is ever shared between companies.

Understanding

  • Obligations and deadlinesWhat must be done, by when, under which rule identifier and version.
  • Where each date comes fromA date printed on the letter is used as stated. A date computed from a statutory term is marked derived and confirmed by a person.
  • Evidence for every claimThe sentence in the letter, or in the rule, that each conclusion came from.
  • It refuses to guess“Cannot be established” and “needs review” are first-class answers.

Preparation & record

  • Prepared answersA response that answers exactly what was asked, with its enclosures named and the evidence attached.
  • Approval workflowOwner and Reviewer roles; a rejection records its reason.
  • An audit trail that verifiesHash-chained and append-only: who decided what, when, against which document. Exportable.
  • Dutch-specific termsCollection terms, objection periods, Poortwachter weeks and KVK publication arithmetic, enforced in the rule set.

Coverage

66 rules. 106 versions. Every one traced to its source.

Each rule version carries its official source, the date it was retrieved and a checksum — 98 from official legislation, 8 from official guidance. If a letter falls outside the rule set, the desk says so.

Control

We never submit to the authority.

For a company that is careful about automation touching the tax authority, this is the whole point. The desk is built to prepare — the decision and the sending stay with you.

Nothing is submitted to any authorityThere is no connection to the Belastingdienst, KVK or UWV in any workspace — not switched off, not present.
No adviceNot legal, tax or accounting advice. The desk shows the rule and the quote; you or your adviser decide.
No guessesNo scan is guessed at, no missing date invented, no obligation assumed to look helpful.
Nothing without a personA named reviewer approves prepared work. No outcome is promised — no deadline met, no objection won.

Who it is for

Built for the company where the post lands on one desk.

For

  • Registered Dutch companies with a KVK number — BV, NV, stichting, vereniging, VOF, eenmanszaak
  • 2–50 people, without an in-house tax or legal department
  • Employees or regular tax filings, so the post actually arrives
  • A business e-mail on your own domain

Not for

  • Private individuals
  • Companies without a KVK registration
  • Anyone who wants the filing done for them
  • Anyone looking for advice rather than preparation

Questions

Asked before the first letter.

Does it submit anything to the Belastingdienst, KVK or UWV?

No. There is no connection to any authority in any workspace — not switched off, not present. The desk prepares; you send.

Is this legal or tax advice?

No. It shows the obligation, the deadline and the rule, with the sentence each came from, so you or your adviser can decide. It gives no advice and does not replace an accountant or a lawyer.

What happens to our documents?

They stay in your own workspace on a server in the EU, scanned for malware on upload and stored privately. You accept the retention policy and the processing terms in the desk before the first upload, and nothing is deleted when a trial or subscription ends. Deletion on request happens within 30 days, confirmed in writing.

Why do you need to verify our company?

Because the desk carries deadlines for a legal entity. We check the registration number against the legal name, the website, and that the e-mail is on your own domain — by hand, once. It is why a deadline in the desk can be trusted, and why there are no free-mailbox or anonymous sign-ups.

Why is there no card for the trial?

Because a trial that needs a card is a subscription with a delay. On day fifteen uploading stops and we ask you to decide. Nothing is charged and nothing is deleted.

What happens after the trial?

It continues at €99 per month — monthly, cancel anytime, no onboarding fee, no setup fee — or it stops and everything you prepared stays, with an export available.

What if the letter is a scan?

The desk tells you it needs a person to read it and does not guess. Most authority letters are also available as a text PDF in that authority’s own portal; if you are stuck, send it to us and we will read it with you.

How do we know the deadline is right?

Every date points at where it came from: printed on the letter, or computed from the statutory term and confirmed by a person. The rule and its version are shown with the sentence they came from.

Which letters does it handle?

Belastingdienst, KVK and UWV correspondence covered by 66 rules in 106 versions, each traced to an official publication. If a letter falls outside them, the desk says so rather than guessing.

Who can use it at our company?

As many colleagues as you like, with an Owner who accepts terms and invites people, and Reviewers who approve prepared work.

Is there a mobile app?

The desk works in a phone browser, and opens from the Astorre X app with one tap.

Can we use it in English?

Yes — Dutch by default, English per user. Correspondence prepared for a Dutch authority is in Dutch.
